Purpose

The Creative Operations Manager is the architect of scalable, efficient, and human-centered systems that enable world-class creative output. This role sits at the intersection of people, process, and performance—ensuring our creative and digital teams are resourced, supported, and aligned to deliver transformational work. They are responsible for turning complexity into clarity: translating business strategy into operational frameworks, team structures, and workflow designs that empower Invisible Dynamics to deliver with speed, precision, and soul. They partner with creative leaders to uphold quality while supporting cross-functional collaboration, financial integrity, and cultural wellbeing. As a key member of leadership, this person ensures operational excellence is not just functional, but inspirational.

Essential Skills

  • Creative Fluency with Operational Mastery: Deep understanding of creative workflows and digital production environments, paired with the ability to build systems that enhance—not inhibit—creative excellence.

  • Resource Strategy & Capacity Planning: Advanced skill in mapping team capabilities against current and future demand; able to model different resourcing scenarios and advise on build vs. flex capacity strategies.

  • Process Design & Systems Thinking: Proven ability to design and implement flexible operational structures, from briefing systems and approval flows to tooling and cross-team collaboration rhythms.

  • Financial Acumen in a Creative Context: Experience in budget planning, tracking team utilization, and balancing profitability with sustainability and culture.

  • Relational Intelligence & Team Leadership: High emotional intelligence with strong interpersonal and communication skills. Able to build trust, manage up/down/across, and serve as a cultural linchpin within a fast-moving environment.

  • Operational Foresight: Ability to forecast operational implications of new business, shifts in team focus, or external market dynamics—and proactively design responses.

  • Calm Under Pressure: Capable of navigating complexity, conflict, and deadlines without losing clarity or compassion. Brings stability and perspective to high-stakes environments.

  • Tool & Data Proficiency: Comfortable configuring and evolving project management and reporting tools (e.g., Notion, Asana, Float, Mosaic, Airtable, or similar). Adept at turning data into insights and visual dashboards.

  • Bias Toward Action: Energetic, decisive, and solutions-oriented. Doesn’t wait for perfect conditions—creates momentum with what’s available while planning for what’s next.

Responsibilities

Creative Leadership

  • Foster a positive, collaborative culture across creative, digital, and strategy teams.

Business Development

  • Assist in building capacity models to support scoping for new business proposals.

  • Align operational bandwidth with strategic planning to ensure pitches and engagements are realistic and executable.

  • Participate in early scoping conversations to flag opportunities or constraints from a resourcing perspective.

  • Contribute operational insights to help shape pricing models and support proposals with back-end delivery feasibility.


Department Operations

  • Develop and maintain a comprehensive resource management system to track team capacity, skills, and availability.

  • Allocate creative and digital resources based on expertise, workload balance, and project requirements.

  • Identify resource gaps or overloads and proactively implement solutions to ensure balanced workloads.

  • Collaborate with project managers and department heads to optimize resource utilization across overlapping timelines.

  • Maintain resource calendars and facilitate transparent communication around availability and project commitments.

  • Monitor resource costs against project budgets to ensure profitability and advise on in-house vs. freelance resourcing strategies.

  • Perform cost-benefit analyses and assist in developing accurate forecasting models in collaboration with Finance.

  • Recommend strategic hiring or freelance engagement based on capacity planning and upcoming pipeline needs.

  • Establish quality control checkpoints throughout the project lifecycle to uphold high standards and creative consistency.


Department Management

  • Identify bottlenecks in creative and digital processes, then facilitate strategic problem-solving to resolve them.

  • Lead internal resource planning meetings and cadence-based operational reviews with structured agendas and action outcomes.

  • Maintain a flexible, pre-vetted freelance network for seamless scaling of capacity during surges.

  • Develop visual dashboards and reports to keep leadership informed of performance, utilization, and resourcing insights.

  • Drive a culture of continuous optimization through a metrics-informed approach and team feedback loops.

  • Support financial planning and assist in pricing strategies by providing clarity on resource costs and utilization metrics.

Logistical Requirements

The Creative Operations Manager will be based out of our Los Angeles office, with a commitment to in-person collaboration. Monday – Thursday required in the office, option Work-from-home Friday’s. 

Travel within the US and internationally may be required based on client and company needs. As a full-time employee, the role may involve working extended hours, including evenings and weekends, to meet client deadlines.
